UniRent

UniRent guide

How to use UniRent step by step, as a landlord or as a tenant. Button names are the ones you find in the app (with the language set to English).

Account and sign-in

To use UniRent you need a personal account. When signing up you choose the type:

  • Owner: add properties, rooms and tenants, record payments, upload bills and documents.
  • Tenant: see your instalments, receipts and bills and report faults.

The account type cannot be changed later. You can sign up with email and password or with Sign in with Google: the first time you use Google we ask you to complete the registration (name, optional phone, account type).

Are you a tenant? Sign up with the same email the landlord entered in your profile: the contract is linked to your account automatically.

Forgot your password: on the sign-in page tap Forgot password and you receive a link to choose a new one. You can change it at any time from Account settings → Password.

Web, iPhone and Android

You can use UniRent in your browser at app.unirent.app and with the apps for iPhone and Android: account and data are the same everywhere. On a computer the menu is on the left with the list of properties; on a phone it is at the bottom. The account menu (your initial at the top right) leads to settings, notifications, terms and privacy.

Properties

  1. From the Overview tap + New property.
  2. Enter name, address (street, number, postcode, city, province) and size.
  3. Choose how you rent it: Single rooms or Whole apartment (with the monthly rent).
  4. If it is in a condominium enable Condominium fees and enter the monthly fee: it is split among the rented rooms and each tenant sees their share. With 0 the fee is included in the rent.

In the property page, under Settings, you can edit the data, upload the Apartment photo, enter the Payment details (holder, IBAN, bank, reference) that tenants will see, and delete the property.

The Overview shows for each property how many units are rented, booked or available, the monthly income, overdue amounts and open faults. Properties other landlords share with you are in the Shared section.

Rooms

For each room you enter name, type (single or double), size, whether it is furnished and the price. The status is calculated from the contracts:

  • Rented: there is a contract running today;
  • Booked: the contract starts on a future date (e.g. “Booked from 01/12”);
  • Vacant: no contract.

You can mark a room as rented or vacant by hand (for instance if the rental is managed elsewhere), and add or remove tenants directly from the room.

Tenants, contracts and instalments

  1. In the property tap + Add tenant.
  2. Enter name, email (used to link their account), room, contract start and end, rent, due day and deposit.
  3. UniRent creates the monthly instalment schedule: you can preview it before saving.

Each instalment has a coloured status: Paid, Due (not yet expired), Overdue, Partial, Not due.

Early move-out: in the tenant’s Contract and costs section enter the day they leave; later instalments become “not due”. It can be undone.

Payments and receipts

In the tenant’s statement tap + Record payment under the instalment or bill share: amount, date and method are already filled in.

After saving, UniRent prepares the PDF receipt (number, description, amount, signature) and asks whether to send it to the tenant. If you send it:

  • the tenant finds it in the Receipts section and under the paid instalment, and gets a notification;
  • next to the receipt you see a tick: grey if they have not opened it yet, double green with the date once they have seen it.

To have your signature on receipts upload an image of it in Account settings → Signature for receipts.

Payments to confirm

When a tenant declares they have paid (for example by bank transfer), the request appears in To confirm, grouped by property and tenant, with the transfer receipt attached if provided. Tap Confirm receipt to record the payment, or Reject giving a reason. The tenant is told the outcome.

Bills

  1. From the property tap + Upload bill (or from the Documents section).
  2. Choose the type (electricity, gas, water, internet, waste, condominium…), attach the PDF, enter amount, due date and billing period: the end of the period is calculated for you.
  3. The bill is split equally among the tenants living there during the period. You can add or remove tenants before saving.

Each tenant sees their own share, the due date and the bill PDF. Shares also appear in their statement and in the totals to pay.

Documents

The Documents section collects all files by category: contracts, receipts, electricity, gas, water, internet, waste and condominium bills, and other. When you upload a contract or a receipt UniRent asks which tenant it belongs to: only they will see it. Bills are visible to all tenants who pay a share.

Faults

From the Faults section choose the property and tap + Record a fault: type of fault, room, description, status (open, in progress, resolved) and, if any, the repair cost, which goes into the property’s accounts.

When a tenant reports a fault you get a notification; when you change the status to “taken in charge” or “resolved” they are notified. Only you see the repair cost.

Accounts and reports

In each property’s Accounts section you find income, maintenance expenses, taxes (with the rate you set, calculated on rents: bills are excluded) and profit. In the Payments section you generate a report for a period (custom dates or the last 1, 3, 6 months) grouped by tenant, to download as PDF, Excel or CSV.

Sharing with co-owners and agencies

From the property open Access and invite a person by email, choosing the role (co-owner or agent) and the permission:

  • Edit: can do everything, except delete the property and manage access unless they are an owner;
  • Read-only: sees the data but changes nothing, cannot record faults and cannot open the settings.

The invitation becomes active when the person signs in to UniRent with that email. For them the property appears under Shared.

Tenants: my home

On the My home page you find your contract, the statement of instalments by year and month with the status of each, the bills with your share and the documents. Two sections open with the arrow:

  • Contract and costs: rent, condominium share if any, total due, paid and overdue;
  • Payment details: holder, IBAN and reference to use for the bank transfer.

Tenants: confirming a payment

Paid an instalment or a bill? Tap Confirm payment under the item, check amount, date and method and, if you paid by bank transfer, attach the receipt (PDF or photo). The landlord receives the request and confirms it: until then the item stays “awaiting confirmation”. If you change your mind you can withdraw the request.

Tenants: receipts

In the Receipts section you find all the receipts the landlord has sent you, newest first; the same receipts also appear under the paid instalment. Tap a receipt to open or download it.

Tenants: reporting a fault

From Faults or My home tap Report a fault, choose what is not working (water leak, boiler, electricity, lock, internet…) or “Other” with a description. The landlord gets a notification and you are notified when they take the fault in charge or resolve it.

Notifications

With the iPhone or Android app you receive push notifications. In the Notifications section you choose which ones to get:

  • landlords: new fault reported, payment declared by a tenant;
  • tenants: new bill, new document or receipt, instalment due or overdue, fault update, outcome of a declared payment.

On first launch allow notifications when the phone asks; if you denied them, turn them back on from the phone settings.

Account settings

From the account menu open Account settings to edit name and phone, change your password, upload your signature for receipts (landlords), choose the language (Italian or English) and a light or dark theme, and delete your account.
